General Info
Being a Front Desk Worker means you will be the face of the Residence Hall you work in. This position will enhance skills in the areas of human relations, communications, and process management while building connections with fellow students. Each staff member is responsible for providing the following services:
- Provide hall security by being stationed at the desk with consistent coverage at 10am till closing at 8pm Sunday-Saturday, except Scott Hall will remain open until 12am midnight (see Shift Breakdown for more details)
- Check out items such as games, equipment, kitchen items, guest bathroom cards, room keys
- Checking in new incoming residents as well as checking out departing students appropriately making sure processes are followed
- Process mail/packages and check them out to resident appropriately
- Work with Managers and A/RHD staff to process lock changes / order key replacements
- Address needs for residents and campus staff while providing great customer service with knowledge about the department and campus, both in person and by phone
- Conduct the general operations at Residence Hall Front Desks using the Department and University systems and processes to conduct all work
Shift Breakdown:
- Training will begin the week before Move-in (Wednesday, August 23 - Friday, August 25)
- Academic Year Start: Residence Life Move-in Weekend (Shifts will start the week before Labor Day weekend and continue through the semester)
- Desk Workers moving into the the Residence Halls will be expected to move into their assignments the weekend/Monday/Tuesday before training
- Academic Year End: Monday after graduation weekend (2nd weekend in May) for all halls EXCEPT Horizon (through last weekend of May-Term, first weekend in June)
- If starting employment during the academic year, training will be based on students/staff availability to train and shadow before starting independent shifts
- Typical Desk Hours: 10am- 8pm Sunday-Saturday, except Scott Hall will remain open until 12am midnight
- Closed on University Holidays: Thanksgiving, Christmas Eve, Christmas, New Year's Eve, New Year's Day (New Year’s Day may vary depending on where it falls in the week in relation to opening for January-Term)
- Break Weeks/Days: 10am-1pm & 3pm-7pm; Thanksgiving Break, Winter Holiday Break, J-Term Break, and Spring Break
- Schedules are based on classes and student availability, and will be set for the semester in August/September for Fall, December for January-Term, January for Spring, April for May-Term
- All trainings/meetings are required and are paid time
- Average on average staff work 6-14 hours per week, work a weekend shift every other weekend, 1-3 shifts during break periods based on the number of staff per hall/number of break days
ACA Requirements:
- Front Desk Workers are permitted to hold an additional job on campus; however, total weekly hours worked in all campus positions must not exceed University established maximums. It is the responsibility of the Front Desk Worker to ensure University hours worked limits are followed accordingly.
- 25 hours per week during academic weeks
- 40 hours a week during break weeks (Winter break – last week of J-Term and Spring Break, May-Term is NOT considered a break period)
- This calendar changes each year and staff will be scheduled accordingly during scheduling meetings
The skills we are looking for in this position:
- Effective communication skills and professional etiquette including answering phone calls and sending emails
- Organizational and problem-solving skills
- Knowledge of Microsoft Office, Outlook Email & Calendar, SharePoint
- Time management and attention to detail
- Ability to adapt to a changing environment
- Willingness to learn and understand the systems the Department of Residence Life uses such as UWO Portal and Microsoft programs used by the University of Wisconsin Oshkosh
- Willingness to work nights and varied weekend shifts between the hours of 10am and 9:30pm.
- Required 2.0 GPA
- Must pass a Criminal Background Check
