Summer Conference Assistant

General Responsibilities 

Serve as a Summer CA and report to a Residence Hall Director (directly) and the Gruenhagen Conference Coordination Staff (indirectly). 

Attend weekly staff meetings and weekly individual meetings with supervisor. 

Participate in scheduled weekday and weekend rotations of duty and desk responsibilities.  

Perform duties such as welcoming groups, check-ins, and check-outs. 

Assist with ensuring rooms are ready for guests by doing room and building checks before, during, and after each camp/conference. Communicate with custodial services regarding room and building readiness. 

Create and manage displays around the building to welcome our guests (i.e. updating signs and bulletin boards). 

Additional tasks as assigned. 

 

Project Success/Pre-College/Summer School Students/Intern Program 

Plan activities for Fletcher Hall conference guests and summer residents (UWO students, interns, etc.) as appropriate. 

Be present in the building unless you have permission from your supervisor to be away for the night/weekend. 

Serve as a role model, including abiding by all Residence Life policies found in the Community Rights and Responsibilities Handbook. Abide by the Department of Residence Life’s Alcohol Expectations. 

Abide by all policies and guidelines outlined in this document, in the Community Advisor Job Description, the Community Rights and Responsibilities Handbook, and the Staffing and Event Planning sections of the Operations Manual. 

Serve as a Community Advisor for those students during their time with us, including all aspects of community development, courageous conversations, and confrontations 

 

Desk Receptionist Responsibilities 

Work regularly scheduled shifts at the front desk when it is open.  Desk hours may vary by group need.  

Greet and assist guests, maintaining an attitude of quality customer service. 

Learn and use the Seattle Tech computer program to manage guests and payments. 

Manage cash handling as required for conference guests.  

Distribute and forward mail and packages, including making mail runs to Gruenhagen. 

Take room reservations, check out keys and desk items, and answer the phone. 

Monitor entrances while at the desk to ensure safety and security. 

Perform all desk opening and closing tasks.  

Assist in the preparation of rosters and key packets for conference groups. 

Maintain cleanliness and organization. 

Complete key audits before and after each camp/conference group. 

Make the entrance lobby a welcoming and inviting place, including keeping items neat and orderly and updating signs and the bulletin board. 

 

Duty Responsibilities 

Go on regular building tours of Fletcher Hall, Taylor Hall, and Gruenhagen Conference Center responding to situations as the need arises. 

Serve as conference contact person and resource. 

Assist with Desk Receptionist responsibilities, as needed. 

Maintain an attitude of quality customer service. 

Carry the duty cell phone and respond to all phone calls. 

Complete duty logs, including reporting and documenting any confrontations, custodial issues, and maintenance issues. 

 

Monday, May 20-Sunday, August 11, 2024. There is a possibility, based on need that some staff will be asked if they can stay for an additional week.  

All time away must be requested and granted by the supervisor. Summer CAs will be allowed 4 nights and 2 weekends away during June and July.  

Mandatory work is required during Badger Girls State, June 16-21, and EAA, July 21-July 29.  

Training and opening preparation will take place during May-Term, with specific dates and times to be established once arrival dates/times are established for our early groups. 

This is a live in position in Fletcher Hall. Staff will be provided with a free single room. In addition to the stipend, staff will be allocated $300 Titan Dollars for use in campus dining.
